What is agentic AI? A plain guide for Indian small businesses
Agentic AI is AI that works towards a goal by deciding on steps and taking actions with tools, such as checking a sheet, booking a slot or sending a payment link, instead of only replying with text. For a small business it is best used on narrow, repeatable jobs with clear limits, a log of every action and a human who approves anything involving money.
- A chatbot answers; an agent decides on steps and acts through tools you connect.
- The safest first agents do one narrow job, such as booking, order status or lead capture.
- Give an agent only the tools that job needs, and keep payments and refunds behind human approval.
- Every action should be logged so you can see what the agent did and why.
- Measure the job done, not the number of chats, to know whether the agent is worth it.
Agentic AI in one paragraph
Most people met AI as a chat box: you ask, it answers. Agentic AI adds three things. It is given a goal ("book this customer a slot"), it can use tools (a calendar, a sheet, a payment link, an API), and it works in a loop: decide the next step, act, check the result, and continue until the goal is met or it needs help.
The word has become fashionable, and plenty of products now carry an "agentic" label. A useful test is simple: can it change something in your business without a person clicking a button? If yes, it is acting as an agent, and you need to treat it with the care you would give a new employee.
Chatbot, assistant and agent compared
| Rule-based chatbot | AI assistant | AI agent | |
|---|---|---|---|
| What it does | Follows a fixed menu | Understands questions and answers from your documents | Works towards a goal and takes actions |
| Handles free text | Barely | Yes | Yes |
| Changes your data | Only fixed steps | No | Yes, through tools |
| Main risk | Frustrated customers | Wrong or invented answers | Wrong actions |
| Good first use | Simple menus, opening hours | FAQs, product questions | Bookings, lead capture, order status |
These are not rival camps. A good setup often mixes all three: a fixed menu to start, AI answers for open questions, and a few agent actions for jobs that need doing. Our page on AI agents versus chatbots goes deeper on the difference.
What an agent can do for a small business today
- Book and reschedule. A salon in Indore lets the agent offer free slots, confirm the booking and send a reminder.
- Qualify and hand over leads. A Pune real-estate broker's agent asks budget, locality and timeline, saves a lead in the CRM and alerts the right salesperson.
- Look things up. A Jaipur wholesaler's agent checks stock or order status in a Google Sheet and replies on WhatsApp.
- Collect payment. A coaching centre's agent sends a Razorpay payment link for the confirmed batch, and the payment event triggers the receipt.
- Call back. An AI voice agent rings a new enquiry within minutes of a form being filled.
Each of these is one job with a clear finish line. That is what makes it safe to hand to software.
Where agents go wrong, and the guardrails that help
The risks are not science fiction. They are ordinary mistakes made quickly and at scale.
- Wrong action. The agent books the wrong date or discounts the wrong item. Guardrail: confirm the key detail back to the customer before acting.
- Invented facts. The agent states a price or policy that is not true. Guardrail: answer only from your knowledge base and say "let me check with the team" otherwise. See AI hallucination in business bots.
- Being talked into things. A user types instructions to change the agent's behaviour. Guardrail: limit the tools and keep sensitive actions out of the agent's reach.
- Money moving without a person. Guardrail: the agent may send a payment link, but refunds, credit and discounts above a limit go to a human.
- No record. Guardrail: keep logs of every step so you can see what happened.
The agent should never ask for OTPs, full card numbers or passwords, and should hand medical, legal or financial questions to a qualified person.
A sensible way to start
- Pick the one job that eats most of your team's time and has a clear end, such as booking or order status.
- Write down the steps a good employee follows, including when they would ask a manager.
- Connect only the tools that job needs.
- Run it on a small share of conversations for two weeks and read the logs.
- Measure jobs completed and handovers, then widen the scope.

Keep an eye on running cost as well. An agent that plans, looks something up and then replies uses the language model several times in one conversation, so it costs more in tokens than a single answer. On a bring-your-own-keys platform you see that cost directly in your AI provider's dashboard. If one job is costing far more than the others, the agent is probably looping or fetching more data than it needs, and the flow should be tightened.
Building an agent on Convo360
On Convo360 an agent is an AI agent (system prompt, knowledge base and your own OpenAI, Claude or Gemini key) working inside a Flow Builder flow. The flow blocks are its tools:
- Google Sheets and HTTP/API request to look things up;
- Save CRM lead and Add to Group to record what happened;
- Razorpay payment link to collect money, with a payment event trigger for what follows;
- Condition blocks to stop and ask a person when a rule is met;
- the live-chat team inbox, where a human can take over and the bot pauses.
Use Preview / Try-it to dry-run the flow, and Flow Logs to see each step with notes. You can also add an AI voice agent on the Pro plan. Start with the AI agents docs.

Frequently asked questions
What is agentic AI in simple words?
It is AI that is given a goal and can take actions to reach it, using tools such as a calendar, a spreadsheet or a payment link. It decides the next step, acts, checks the result and continues, rather than only replying with text.
Is agentic AI different from a chatbot?
Yes. A chatbot mainly answers questions, either from a fixed menu or with AI. An agent can also change things, such as booking a slot or saving a lead. That makes it more useful and also means it needs limits and logs.
Is agentic AI safe for a small business?
It can be, if you start with one narrow job, give the agent only the tools that job needs, log every action and keep money decisions such as refunds and discounts with a person. Review the logs regularly in the first weeks.
Do I need a developer to build an AI agent?
Not for common jobs. No-code flow builders let you connect tools such as Google Sheets, a CRM and payment links as blocks. A developer helps only when you need to call your own systems through an API or webhook.
Can an AI agent make phone calls?
Yes. An AI voice agent can answer or place calls through your telephony provider, follow a script, use tools during the call and hand over to a person. Indian telecom rules on DND, consent and number series still apply to every call.
