Shopify order status on WhatsApp: building the bot in an hour
Connect your Shopify store to a WhatsApp number through Convo360, switch on order answers, and customers who ask about an order get the real status and tracking link in seconds. Because WhatsApp identifies them by phone number, most customers need to give nothing at all.
- WhatsApp already knows who the customer is, which makes order lookup nearly frictionless.
- Store phone numbers in a consistent format or matching will fail silently.
- Send proactive shipping updates as Utility templates, and let the bot handle the follow-up questions.
- Keep an easy route to a human for anything that is not simply 'where is it'.
Why WhatsApp is the right channel for this
Order status is the one query where the channel does half the work for you. A customer messaging your WhatsApp number has already proved which phone number they are, and that number is very likely the one on the order. No login, no order number, no email.
Compare that with a website chat widget, where an anonymous visitor has to type an order number and an email before you can safely show anything. The same automation feels effortless on WhatsApp and clumsy on the web.
It is also where Indian customers already are. Most will not open an email or a tracking portal, but they will type two words into a chat they already have open.
There is a cost angle as well. A customer service conversation on WhatsApp is charged by Meta per 24-hour window, not per message, so answering four follow-up questions costs the same as answering one. That makes WhatsApp the cheapest place to have a conversation that tends to have several turns, which order status almost always does.
What you need before you start
- A WhatsApp number connected to Convo360 through the Cloud API. The WhatsApp docs cover both connection routes.
- A Shopify Admin API token that can read orders and customers.
- An AI agent attached to that number, with your brand voice in the system prompt.
- Clean phone numbers in Shopify, ideally all in one format.
The last one is the most common cause of failure. If half your orders store the phone as 9876543210 and half as +91 98765 43210, lookups will work for some customers and quietly fail for others.
Give some thought to the system prompt before you connect anything. The bot is about to speak to customers on your busiest channel, and the default voice is generic. Two or three lines describing your brand, your delivery promise and how you want bad news delivered will do more for the quality of replies than any amount of configuration.
If you sell in several languages, say so explicitly in the prompt. The model will otherwise mirror whatever the customer wrote, which is usually right but occasionally produces an English reply to a Marathi question.
Connecting the store
In Convo360 open Integrations, pick Shopify, and enter your store domain and Admin API access token. Use Test connection before saving. On the same panel, leave Let the AI answer “where is my order?” ticked.
That is the whole configuration. When a customer asks about an order, their orders are fetched from your store and handed to the AI as fact, so the answer is the real state and the real tracking link rather than something the model invented.
Test the connection with a real order rather than a demo one. The common surprise is an order placed as a guest, which sits in Shopify without a linked customer record. Those still match by email or phone on the order itself, but it is worth confirming with your own data rather than assuming.
If your store has many thousands of customers, the first lookup for an unusual phone format can take a few seconds while the store is searched. Convo360 caches the result briefly, so the follow-up questions in the same conversation are instant.
Pairing it with proactive updates
Answering questions is reactive. The better pattern is to send the update before the customer has to ask, then let the bot handle whatever comes back.
| Moment | What to send | Template type |
|---|---|---|
| Order placed | Confirmation with items and total | Utility |
| Shipped | Courier name and tracking link | Utility |
| Out for delivery | Short heads-up | Utility |
| Delivered | Thanks, plus a review or reorder nudge | Marketing |
Convo360 can fire these from Shopify webhooks through the same integration. Utility templates are cheaper than Marketing and always deliverable, so keep the promotional tone out of the first three.
Keep the tracking link in the shipped template rather than saving it for the reply. Customers forward these messages to family, and a message that already contains the link needs no follow-up. Every proactive message that answers the question completely is one conversation you never have.
Handling the awkward cases
Three cases will come up in the first week. A customer writing from a different number than the one on the order: the bot asks for the order number and the email used at checkout, then checks they match. A part-shipped order: the bot should say which items went and which did not, rather than calling the whole order shipped. A parcel that has not moved for days: the bot should say what it can see and offer a person.
Give the last one a real destination. With the Support Desk switched on, that conversation becomes a ticket with an owner and a reply deadline rather than a message somebody may or may not notice.
Test all three yourself before you go live. They are quick to check and they are exactly where an automated reply can do damage.
Watch the first fifty conversations yourself. You are looking for two failure shapes: replies that are correct but cold, and replies that are warm but vague. The first is a prompt problem, the second usually means your store data is thinner than you thought, most often a missing courier name or an empty tracking field on part of your catalogue.
Once those are clean, the automation mostly runs itself. Check it again after any change to your fulfilment process, since a new courier or a new warehouse can quietly change the shape of the data the bot is reading.
Step by step
- Connect WhatsAppSettings → WhatsApp Onboarding. Connect your number through the Cloud API and confirm the webhook is receiving messages.
- Connect ShopifyIntegrations → Shopify. Enter the store domain and Admin API token, then Test connection.
- Switch on order answersOn the Shopify panel, keep 'Let the AI answer where is my order?' ticked.
- Tidy your phone numbersExport customers from Shopify and check the phone format. Inconsistent formats are the main reason lookups fail.
- Add shipping templatesCreate Utility templates for shipped and out-for-delivery, and map them to Shopify events on the same integration panel.
- Test the three awkward casesWrite from an unknown number, ask about a part-shipped order, and ask about a stalled parcel. Check each reply is honest.

Frequently asked questions
Do I need Shopify Plus for this?
No. Any Shopify plan works, because the integration uses the standard Admin API. You need a custom app or a private app token with read access to orders and customers.
Will the bot reply to order questions in Hindi?
Yes. It replies in the language the customer wrote in, including Hinglish. The order details themselves come from your store, so item names appear exactly as you have written them in Shopify.
What happens outside business hours?
Order answers work at any hour, which is much of the value. Anything the bot hands to a person is queued and answered when your team is next working, with the clock counting only working hours.
Can customers place an order over WhatsApp too?
Yes, through a catalogue or a flow that ends in a payment link. That is a separate build from order status, and usually worth doing after the status automation is working reliably.
How do I stop the bot answering someone else's order?
It is built in. Orders are only shown to the number or email that placed them, and an order number on its own is never enough. A number must come with the matching email or phone.
